To assist, and as required, represent the Project Engineer in carrying out various administrative duties as they relate to the Project and Staff Support. The Finance and Administration Officer will provide oversight to the Project Logistician and the procurement process as well as give support in administrative duties to ensure the day to day smooth operation of the Project.
Key Responsibilities
Administer the field office cash ledger;
Process staff cash requests, update & monitor staff cash accounts and review staff expenses reports as per Samaritan's Purse (SP) guidelines;
Ensure sufficient cash is available at all times while managing the efficient flow of cash as required;
Facilitate field site cash reconciliation & upload the petty cash ledger and staff expense reports to the accounting system;
Conduct and document weekly and monthly cash counts;
Ensure that checks and balances in control of cash are in place and followed as per SP guidelines;
Prepare field site's Request for Funds report (RFF) & liaise with the Nairobi office that funds are transferred in a timely and efficient manner;
Ensure finance documents are filed properly and submitted to the country head office in Nairobi within the required timeline;
Notify the Program Engineer and Finance Manager immediately in the case of financial discrepancy;
Assist Project Engineer in compiling annual budgets and review monthly project activity reports to recommend any arising changes;
Give oversight to the procurement operations of the Kapsowar Hospital and ensure that procurement documents are properly coded;
Coordinate receiving and (or) accommodation of visitors to the project site and assist them depending on their itinerary;
Comply with all laid down Samaritan's Purse policies and procedures;
Attend morning devotions and participate in prayer support for the Samaritan's Purse ministry;
Maintain a strong Christian witness to colleagues, vendors, charitable beneficiaries, and the general public;
Perform any other related duties as assigned and carrying out responsibilities with regards to Samaritan's Purse mission statement.
Education / Experience Needed
A Bachelor's degree in Finance or related field;
3 years' experience in finance or a similar position preferably in an INGO setting;
Well versed in Microsoft Office
Experience in cash flow management
Previous experience with accounting software will be an added advantage
Ability to communicate in English and Kiswahili
