Position Overview: We are seeking a proactive and organized Virtual Assistant to manage various tasks related to customer relations, quality control, and estimates for holiday lighting installations.
This role involves handling follow-ups with customers, managing holiday light design estimates, and performing administrative tasks using CRM tools.
The ideal candidate should possess excellent communication skills, have a knack for customer service, and enjoy learning and growing into the role.
Key Responsibilities: Post-Job Quality Control: Follow up with customers after job completion to ensure satisfaction, request reviews, ask for referrals, and manage invoices as needed.
Estimate Preparation: Use software to create virtual holiday light estimates based on customer property photos and prepare proposals with visual mock-ups.
Estimate Follow-Up: Track and follow up on outstanding estimates, ensuring timely communication to close deals.
CRM Management: Use CRM platforms (Workiz and GoHighLevel) to track and manage estimates and follow-ups.
Process Documentation: Document all processes to ensure consistency and scalability for future team members.
Miscellaneous Tasks: Handle additional administrative tasks as assigned.
Qualifications: Proficiency with Gmail and Google Calendar.
Excellent written communication skills in English.
Strong organizational skills and attention to detail.
Ability to handle multiple tasks and work independently.
Familiarity with CRM platforms, Notion, Asana/Monday.com, or Microsoft Suite is a plus.
Nice-to-Haves: Experience in customer service, sales, or project management.
Creative mindset, especially for holiday light designs.
Extroverted personality with a desire to engage with customers.
