Tasks
Reception services: Attend to visitors queries and provide general information on STRABAG as appropriate, receive calls on behalf of STRABAG and direct them accordingly.
Facilitate an effective working environment by ensuring that all essential services (utilities, internet, telephone) supplies, stationery and amenities are available to staff and visitors as needed.
Facilitate incoming and outgoing correspondence including distribution of incoming mails to relevant staff, timely sending of outgoing correspondences, scanning, photocopying, and archiving of documents as needed.
Facilitate travel needs of staff and visitors as needed in collaboration with the office drivers.
Coordinate the travel and accommodation of foreign staff and visitors to Kenya in conjunction with the head office. This includes air tickets, travel visas, airport transfers, accommodation, and any other visitor requirements.
General office management: Oversee office cleaning, security in the office including keeping custody of spare keys and maintenance of first aid kit.
Facilitate meetings and ensure adequate amenities are in place.
Keeping diaries, manage staff appointments.
Any other duties as assigned by management.
Qualifications
University Degree in Business Administration or any related field from a recognized institution.
Min. 4 years working experience in a busy environment.Knowledge and Skills:
Meticulous attention to detail.
Excellent command of English and Kiswahili.
Excellent interpersonal and communication skills.
Sound Administrative skills and the ability to multi-task.
Experience in the use of MS Word, Email Outlook, Excel, Powerpoint.
Highly developed planning and organizational skills and the ability to meet deadlines.
Posses the ability to work well under pressure.
Self-motivated, intelligent, creative, very capable and well qualified reliable team player.
Ability to work in a multi-cultural setting.
