Key Responsibilities:
Dispatch Coordination:
Assist in the scheduling and dispatching of drivers and vehicles based on delivery orders, route planning, and customer requirements
Communicate with drivers to provide detailed instructions, delivery addresses, and any special requirements
Monitor delivery progress and provide updates to the dispatch team and customers as needed
Marketing:
Ensuring that all the walk in clients have been attended to
Marketing all the available products to the clients
Data Entry and Documentation:
Enter and update delivery orders, schedules, and other relevant information into the dispatch system
Maintain accurate records of dispatch activities, including driver logs, delivery times, and customer interactions
Prepare and distribute dispatch-related reports to supervisors and management
Customer Service:
Respond to customer inquiries regarding delivery schedules, delays, and other concerns
Coordinate with customers to confirm delivery times and any specific instructions
Address and resolve any customer complaints or issues in a professional and timely manner
Communication:
Serve as a liaison between drivers, dispatchers, and other departments (eg, sales, customer service, stores)
Relay important information to drivers, such as traffic updates, route changes, and safety alerts
Ensure that all relevant parties are informed of delivery status and any changes in real-time
Administrative Support:
Assist the Dispatch Supervisor in preparing schedules, route plans, and other logistics documents
Help in coordinating the maintenance and repair schedules for vehicles in the fleet
Order and maintain office supplies necessary for dispatch operations
Compliance and Safety:
Ensure that all dispatch activities adhere to company policies, safety regulations, and legal requirements
Verify that drivers have the necessary documentation, including licenses, permits, and delivery manifests
Report any compliance issues or safety concerns to the Dispatch Supervisor immediately
Problem-Solving:
Assist in resolving issues that arise during dispatch, such as delivery delays, vehicle breakdowns, or driver shortages
Collaborate with the dispatch team to develop solutions that minimize disruption to delivery schedules
Escalate complex problems to the Dispatch Supervisor or appropriate management for further action
Qualifications:
At least a diploma or certification in logistics related fields is a plus
Previous experience in a dispatching, logistics, or administrative role is preferred
Proficiency in data entry and familiarity with dispatch software or related systems
Strong organizational, communication, and problem-solving skills
Ability to work effectively under pressure and handle multiple tasks simultaneously
Basic knowledge of transportation regulations and safety standards
Proficiency in Microsoft Office (Word, Excel, Outlook) and other relevant software
