Job Purpose:The Human Resource Intern is responsible for facilitating HR operational functions and day to day activities of the HR Office; in line with the HR policies and practices.Responsibilities (Functions and duties):Daily check, verification and confirmation of staff attendance; up-date the leave scheduleMaintain employee database by ensuring filing of documents as and when receivedPeriodic review of employee files to ensure that all required documents are inFacilitate employee medical assistance and sick offs as per the limits providedCoordinate internal and external trainings and ensure that course content, assessment forms and attendance sheets are filled and filed in the Training FileCoordinate and plan Stock Take activities by collating the activities scheduled and communicating to staffFacilitating recruitment process by conducting entry interviews and maintaining interview feedback summariesConducting employee reference checks for selected candidates' prior final selection and placementConduct and coordinate the induction and orientation process for all new employees and ensure that the timelines set are adhered toMaintain accurate records for payroll processing – leave, attendance; etc...Attending the OSHA meetings and recording minutes as discussed by membersIssuance of PPE and stationery while maintaining accurate records; and making requisitions for stock replenishmentTrack and monitor stationery usage and up-date the status record periodicallyFacilitate progress reviews and appraisals as per the set schedules and coordinate with the HODs to ensure that the process is well doneDaily check on the Plant status to ensure that agreed housekeeping standards are maintainedReview of daily hygiene checks and ensure operating guidelines are maintainedFacilitating internal correspondence on agreed communication; further, assist in coordinating external correspondenceFacilitate disciplinary management on occurrences against agreed policies and proceduresSupport and facilitate formulation, review and implementation of policies, processes and proceduresCoordinating and undertaking projects assigned and presenting reports on the same per the timelines providedOffer support services in line with Staff Welfare including guidance and counsellingAny other duties not necessarily mentioned which are in line with the position of aHR Assistant
