The Opportunity We are looking for a competent and motivated Office Manager to help with the organisation and running of the daily administrative operations of Finnfund's Nairobi office.
Background of the Role  Finnfund's regional office in Nairobi plays a central role in strengthening our position in the East African market.
You will be responsible for managing the administrative matters, ensuring the efficient running of the office.
Key Responsibilities Scheduling meetings, handling correspondence, maintaining office supplies.
Organising and supervising office activities, including cleaning service, renovations and event planning.
Managing day-to-day relationship with the building manager, suggesting and following up on development ideas.
Supporting Head of Nairobi office in budgeting, bookkeeping, and reporting procedures.
Maintaining financial records required for financial, regulatory, and tax filing purposes.
Supporting Finnfund's Helsinki-based People & Culture team in work permit, KRA tax pin, and other applications.
Coordinating travel arrangements, visa applications and accommodation for Finnfund staff.
Coordinating country visits for Finnfund's executive management, governing bodies, and other stakeholders.
Arranging stakeholder visits with the Embassy of Finland and Business Finland, including ministerial and business delegations.
Submitting timely reports and preparing presentations.
Supporting colleagues with other tasks as assigned.
Qualifications and Demonstrated Experience The Office Manager should have the following qualifications and capabilities: Experience We require a minimum of 5 years of proven experience as office manager, office administrator, or similar, relevant administrative role.
You should also have previous experience in accounting and/or bookkeeping.
Previous work experience in an Embassy, DFI, or NGO will be an added advantage.
In Addition We expect you to have a Bachelor's degree in Business or Office Management, or equivalent from a recognised university.
An ideal candidate for this position is a hard-working professional with high integrity who can work diligently under pressure.
Excellent command of written and spoken English is a prerequisite.
You have strong organisational skills, flexibility, and are able to deliver on time.
You are recognised by others as a team player with the ability to work in an international and multicultural environment.
We expect you to be proficient in Microsoft Office applications including PowerPoint, Excel and Microsoft Word.
You have a high attention to detail and excellent problem-solving skills.
In order to effectively manage both internal and external communication, you should have strong social skills.
