Job Summary
The Receptionist/Telephone Operator position holder is responsible for operating the switchboard, organizing meetings, receiving visitors, managing mail and carrying out general administrative duties. The person acts as the Bank's front office person and epitomizes the best image of the Bank.
Responsibilities
The position holder is responsible for the day-to-day execution of various administrative functions including:
Performs secretarial and clerical duties such as typing, formatting, filing, proofreading, photocopying, printing documents, locating files, dispatching and receiving letters/documents to and from central mail and other individuals;
Manages meeting room scheduling;
Answers telephone calls and provides adequate information to callers;
Schedules appointments;
Maintains filing and records systems (electronic and manual);
Registers and routes incoming correspondences;
Manages the front-office (reception);
Performs administrative and clerical duties as assigned.
Qualifications and Competences
A Diploma in Secretarial Sciences or Front Office Operations and Bachelor's degree in Business Administration or related discipline with relevant professional qualification as added advantage;
A minimum of 5 – 8 years of relevant experience in a regional/ international corporate, banking or DFI environment;
Adept in office systems software/ equipment with strong information technology skills with excellent IT skills in MS Office: Windows, Word Processing, Excel and SAP;
Excellent communication and interpersonal skills with the ability to work in a multi-cultural environment;
Ability to work under pressure to deliver on strict deadlines with minimal supervision;
Team player and ability to juggle with multiple, changing priorities, tact and discretion;
Exhibit sound judgement and ability to make reasonable decisions in the absence of direction;
Strong organizational and planning skills;
Fluency in English is a requirement. Knowledge of another official language of TDB Group's member states is desirable.
